How This Calculator Works

Professional event bartenders use a standardized formula based on per-capita consumption rates established by the National Licensed Beverage Association.

The Core Formula

Total Drinks = Guests × (Duration in Hours) × Consumption Rate

Consumption Rate varies by level:

  • Light (1.0 drinks/hour): Afternoon corporate events, mixed ages, daytime
  • Moderate (1.5 drinks/hour): Standard evening events, typical mixed demographics
  • Heavy (2.0 drinks/hour): Evening celebrations, younger crowd, high engagement

Example for 100 people, 4 hours, moderate:

100 guests × 4 hours × 1.5 = 600 total drinks

Then distribute by type (our recommended 45/30/25 split):

  • Spirits (45%): 270 drinks ÷ 17 servings/bottle = 16 bottles
  • Wine (30%): 180 drinks ÷ 5 servings/bottle = 36 bottles
  • Beer (25%): 150 drinks = 150 beers/seltzers

Note on waste: Our calculator already accounts for 10-15% spillage and over-pour. Do not add extra buffer on top.

What Is Dry Hire? Why It Matters

With dry hire, you purchase alcohol at retail prices and Wonderbarz provides the licensed staff, equipment, and setup. This calculator helps you buy exactly the right amount — no caterer markup, no guessing. See our guide to how much a dry hire bar costs in CT.

Recommended Quantities by Event Type

The same 100 guests drink very differently at a wedding than at a corporate lunch:

Event Type Duration Spirits (750ml) Wine (750ml) Beer / Seltzers Est. Retail Cost
Cocktail Hour Only 1.5 hrs 5–7 4–6 15–25 $250–$450
Corporate Happy Hour 2 hrs 5–6 6–8 25–30 $350–$550
Daytime Brunch 2–3 hrs 3–5 8–12 20–30 $300–$500
Private Party / Birthday 4 hrs 13–15 22–28 80–100 $700–$1,200
Wedding Reception 5 hrs 19–21 35–40 130–150 $1,100–$1,800
Caterer Markup (Same Events) 2–3× Retail Cost

Retail costs based on Connecticut liquor store pricing. Caterer markup typically 100–150% above retail. See full CT dry hire cost breakdown.

Key Variables That Affect Consumption

1. Guest Profile

Age: Guests 35+ drink 20–30% less than 25–34 year-olds. Adjust downward for groups with significant 55+ attendance.

Gender composition: All-male groups average 10–15% higher consumption. Mixed groups use the baseline.

2. Timing

Daytime (10am–4pm): Reduce consumption by 20–25%. Favor wine, beer, and mocktails.

Evening (5pm–midnight): Use baseline rates. Spirits and beer peak during these hours.

3. Food Service

With meal service: Consumption drops 15–20%. Food slows alcohol absorption.

Cocktail-only event: Increase by 10–15% — higher bar engagement with no meal to pace the crowd.

CT Host Pro Tip

Most Connecticut retailers — Total Wine, Costco, local distributors — allow returns on unopened bottles. Always buy 10% more than your estimate and return what you don’t use. The cost of running out far exceeds the cost of one extra case.

Frequently Asked Questions

For a 4-hour open bar with mixed-age guests, the professional baseline is 13–15 bottles of spirits, 22–28 bottles of wine, and 80–100 beers/seltzers. Use our interactive calculator above to adjust for your exact guest count, duration, and drinking level.
Use the formula: Guests × Hours × Consumption Rate. For a standard evening event: 100 × 4 × 1.5 = 600 drinks. Split 45% spirits, 30% wine, 25% beer. Our calculator above does this automatically with adjustable inputs.
At retail in Connecticut, a full open bar for 100 guests over 4 hours typically runs $700–$1,400 depending on spirit quality. Catering companies mark up alcohol 100–150% above retail. Dry hire eliminates the markup entirely.
Yes. If 20–25% of your guest list doesn’t drink, reduce total quantities by 15–20%. Always stock adequate non-alcoholic alternatives — sparkling water, sodas, coffee, and premium mocktails.
Yes. Most Connecticut liquor retailers including Total Wine and Costco accept returns of unopened bottles within 30 days with a receipt. This is a major advantage of dry hire bartending.
Dry hire means you source and own the alcohol at retail prices; the bartender brings skills and equipment. Catering means the vendor provides alcohol at marked-up prices. Dry hire saves 30–50% on alcohol costs. Learn more about dry hire.

Professional Logistics Beyond the Calculator

Managing alcohol for guests carries significant responsibility. Ensure your service provider carries mandatory TIPS certification and Liquor Liability Insurance required by most Connecticut venues. This protects your estate and ensures a safe, legally compliant experience.

Understaffing is the other common failure point — long bar lines destroy event atmosphere. Our guide on avoiding bar lines at Connecticut events covers optimal staffing ratios.

Final Checklist Before Purchasing

  • Confirm event duration (setup + event + breakdown)
  • Survey your guest list for non-drinkers
  • Check your venue’s licensing requirements for outside alcohol
  • Verify CT retailer return policy for unopened bottles
  • Plan ice — 1 lb per drink consumed is the professional benchmark
  • Confirm glassware and barware are included in your bartending package
  • Schedule delivery 24 hours before the event
  • Verify TIPS certification and COI from your bartending provider
